Meeting & Event Policies
Optometrist/Paraoptometrist
- Cancellations: Cancellations received by the last day of the month, two months prior to the meeting will be entitled to a full refund. Cancellations received by the last day of the month, the month prior to the meeting will be entitled to a 50% refund. Cancellations received after this time frame will not be entitled to a refund. Emergency situations may alter this policy on a case-by-case basis. Exact dates will be included on each meeting's registration page.
- No Shows: No show registrants will be responsible for the entire registration fee. Emergency situations may alter this policy on a case-by-case basis.
- OD Partner Representatives: Optometrists working for a NCOS Partner company are required to complete the registration process and pay the full OD CE registration fee in order to attend any continuing education sessions.
Exhibit Hall Pass Only

Exhibitor
- Cancellations: Cancellations received by the last day of the month, three months prior to the meeting will be entitled to a full refund. Cancellations received by the last day of the month, two months prior to the meeting will be entitled to a 50% refund. Cancellations received after this time frame will not be entitled to a refund. Exact dates will be included on each meeting's registration page.
- No Shows: No show exhibiting companies will be responsible for the entire booth fee. Furthermore, no shows may be prohibited from exhibiting at future NCOS events.
- CE Attendance: OD Representatives from exhibiting companies, including NCOS Partner companies, must complete the registration process and pay the full OD CE registration fee in order to attend any continuing education sessions. Non-OD Representatives from exhibiting companies are permitted to attend one General Session per Congress Event at no additional cost.
Non-Exhibiting Company
- Exhibit Hall Attendance: Representatives from non-exhibiting companies are prohibited from promoting their company in any way in the exhibit hall during the event - this includes, but is not limited to, passing out literature, wearing company logo on attire or verbally promoting the company.
- CE Attendance: Non-OD Representatives from non-exhibiting companies, including NCOS Partner companies, are prohibited from attending any continuing education sessions.
- Marketing/Promotion: Representatives from non-exhibiting companies are prohibited from promoting their company in any capacity during the event - this includes, but is not limited to, passing out literature, wearing company logo on attire or verbally promoting the company.
